Payroll Specialist

Purpose of role: The Payroll Specialist supports the U.S. group companies with HR related transactional functions with concentration in payroll administration and services.

Main Tasks and Responsibities:

  • Responsible for processing of assigned payrolls within a dynamic, high volume, multi-state shared services environment
  • Review, analyze and reconcile  employee data and outputs  from HR systems to ensure data and system accuracy
  • Analyze and apply payroll related updates such as garnishments, 401(k) and other related deductions as provided for payroll processing
  • Analyze, interpret and reconcile data from imports into online database against source documents
  • Responsible for timecard extract, populating, compiling,  and reconciling for accurate hours and earnings upload into payroll  
  • Interact with HR, Finance and vendors to identify and resolve time and labor and payroll related issues to drive consultation and partnership     
  • Responds to HR/payroll-related inquiries from employees, management and outside agencies, serving as a resource for payroll issues
  • Work with third party payroll provider and other departments as needed, to reconcile taxable wages and third party prepared  quarterly and annual payroll tax returns and files
  • Active participation/partnership during periodic  payroll related processes including merit, bonus and year end
  • Partner with applicable departments or agencies for periodic reporting and audit support as needed   
  • Identifies and actions through review, analysis and interaction with team members/partners, opportunities for continuous improvement
  • Participate in the development, testing  and delivery of new or enhanced functionality and reporting to end users
  • Remain current on knowledge of company payroll/HR policies and procedures, administration guidelines, and related regulatory issues for federal, state, and local governments
  • Other duties as identified to support the payroll function within the organization


Education and Skillset:

  • Bachelor’s degree in Human Resources, Industrial Relations, Accounting or related field
  • CPP or FPC certification preferred
  • 3-5 years’ payroll experience in high-volume multiunit environment
  • Strong working knowledge of payroll and HRIS systems (ADP is preferred); solid understanding of various government statutory requirements on employment standards, compensation, benefits, payroll, etc. across multiple states
  • Experience in an HR Shared Services environment preferred
  • Strong analytical, problem-solving and project management skills; demonstrates flexible and efficient time management with the ability to prioritize workload, effectively communicate and maintain strict confidentiality
  • Works collaboratively to build, develop and implement process improvements
  • Excellent verbal and written communication skills; strong attention to detail, self-directed
  • Working knowledge of ADP, HR principles and practices and labor laws
  • Proficient in Microsoft Office (Excel, Outlook, Word, PowerPoint)
