HR Services Specialist (with German)

We are looking for an HR Services Specialist (with German) who, as a key member of the HR team, will take ownership of the end-to-end administrative employee lifecycle, ensuring a smooth and high-quality HR experience for employees across all departments and levels. The successful candidate will be the go-to partner for accurate, timely, and service-oriented HR administration, supporting both employees and line managers in day-to-day HR matters.

Working closely with HR Business Partners and HR Managers, will help deliver consistent, compliant, and people-focused HR services, contributing to a positive employee experience from onboarding through to offboarding.

 

More about the role:

 

  • Handle HR-related administrative queries from employees and line managers
  • Collaborate with HR BP / HR Manager to manage the full administrative employee lifecycle
  • Issue and process employment contracts, register employees for various insurances, and enter data into the HR system (SuccessFactors / SAP)
  • Coordinate onboarding modules and support new hire integration
  • Enter and maintain personnel data changes in the global HR system (SuccessFactors / SAP)
  • Ensure data quality in HR systems and forward payroll-relevant data to payroll on time
  • Issue and process employment contract amendments, changes in function, internal transfers, changes in working hours, promotions, unpaid leave, retirements, births, changes in civil status, etc.
  • Process employee entries and exits in close collaboration with other departments (e.g. IT, facilities) and line managers
  • Monitor employment-related documentation, including job descriptions, and issue relevant agreements (e.g. training, confidentiality, sideline employment)
  • Assist with various personnel life-changing events in close collaboration with HR BP / HR Manager
  • Advise and counsel line managers, employees, and HR colleagues on HR directives, policies, procedures, and systems; handle queries in German and English
  • Support annual corporate processes such as appraisal, salary and bonus review, and Long-Term Incentive Plan
  • Provide second-level support for HR systems including the time recording system (Atoss)
  • Ensure monthly payroll preparations are ready for Payroll
  • Handle transfer and termination formalities: issue reference letters, process exits in the HR system in close collaboration with other departments, HR BPs / HR Managers, and line managers
  • Liaise with governmental authorities and administrations
  • Support local HR projects and continuous improvement of HR processes and services

 

More about you:

 

  • Education in Human Resources or similar field
  • At least 2 years of experience in HR administration in an international environment, with a strong understanding of the employee lifecycle
  • Very good understanding of HR processes and systems (SAP SuccessFactors), with up-to-date HR knowledge
  • Proficient in German and English 
  • Strong team player with excellent communication skills, high customer orientation and service mindset
  • Very good MS Office skills (especially Excel)
  • Knowledge of German labour law will be a nice to have
  • Experience in payroll administration is a plus
