Senior HR Services Specialist (with German)

Purpose of the job is to provide HR administrative services and ensure seamless execution of employee life cycle processes, addressing complex HR queries.  You will act as a trusted advisor to HR Business Partners and / or HR Managers, employees, line managers, and junior HR team members by leveraging expertise in HR operations. Contribute to process improvement initiatives and support organizational transitions by ensuring operational stability, mentoring colleagues, and collaborating across departments.


More about the role:

 

HR Operations:

  • Execute complex HR administrative tasks across the employee life cycle, including onboarding, contract amendments, promotions, exits, time and attendance, in compliance with legal requirements
  • Act as a second-level escalation point for operational issues, ensuring prompt resolution while maintaining high standards of service
  • Ensure data accuracy and integrity in HR systems (SuccessFactors / SAP / Atoss etc.) and oversee quality control for team deliverables
  • Liaise with payroll, social insurance authorities, and external vendors to address complex cases, ensuring compliance and operational continuity
  • Counsel and provide detailed guidance to employees and managers on HR policies, system usage, and processes, especially during periods of organizational transition
  • Support in various annual processes such as Appraisal, Salary and Bonus Process, Long Term Incentive Plan
  • Liaise with governmental authorities and administrations where necessary
  • Support in local HR projects and continuous improvement of HR processes and services as required

Process Improvement:

  • Identify inefficiencies in current HR processes and actively participate in projects aimed at optimizing workflows and enhancing service delivery
  • Support process automation initiatives and system upgrades, collaborating with relevant stakeholders
  • Develop and maintain documentation for new processes and system changes, ensuring knowledge transfer within the team
  • Actively contribute to the implementation of transition-related changes

Transition Phase Support:

  • Act as an active contributor to the transition phase by stabilizing daily operations and serving as a point of contact for transition-related queries
  • Provide input on change management initiatives, ensuring team readiness and operational continuity during transitions
  • Monitor the impact of changes on operational processes and suggest actionable improvements to mitigate risks

 


More about you:

 

  • At least 3-4 years of experience in HR administration in an international environment, with demonstrated ability to handle complex operational tasks
  • Experience supporting organizational transitions or leading improvement projects
  • Proficient in German and English
  • BA or MA degree in HR, psychology or other 
  • Experience with German administration, payroll and labor law is very nice to have
  • Strong team player with good communication skills, high customer orientation and service thinking
  • Very good MS Office skills (especially in excel)
