About the Role
We have an exciting opportunity for a Property Administration Officer to join our Property team. In this role, you will provide essential administrative and operational support to the Property Development Manager, ensuring the smooth and compliant running of our national clinic property portfolio.
This role is ideal for someone with strong administrative skills – ideally gained in property, operations, finance or a similar environment – who enjoys working with leases, landlords, financial data, and multiple internal stakeholders.
This is a full-time role based in our modern North Sydney office, with the flexibility to work under a hybrid model.
Your key responsibilities will include the following:
- Maintain accurate and current lease documentation, costs, and key dates across property systems and registers
- Prepare, coordinate, and track leases and agreements, including visiting and temporary site arrangements
- Issue monthly sales reports to landlords in line with lease obligations
- Ensure rental payments, outgoings, and escalations are processed accurately and on time
- Set up and manage landlord vendors, reconcile accounts, and resolve payment queries
- Coordinate bank guarantees, including tracking, renewals, and releases
- Manage shared rental and property inboxes, responding to landlord and internal enquiries
- Act as the primary contact for landlord‑responsible repairs and maintenance matters
- Log, track, and follow up repairs and maintenance requests to resolution
- Maintain organised, audit‑ready electronic property and invoice records
- Support insurance claims and general property administration as required
- Comply with health and safety requirements, including Fire Warden duties
About you
You are organised, detail‑oriented and comfortable working in a fast‑paced, multi‑stakeholder environment. You enjoy managing data, documentation and processes, and pride yourself on accuracy and follow‑through.
You will bring:
- At least 2 years’ experience in property administration or procurement
- Tertiary qualifications in a business or related discipline
- Strong time management skills with the ability to juggle competing priorities
- High attention to detail and the ability to work autonomously
- Excellent communication and stakeholder‑management skills
- Intermediate skills in Microsoft Word, Excel, Outlook and PowerPoint
- Ability to learn new systems quickly
Experience with the following will be highly regarded:
- Commercial leases
- ProLease (MRI Software), PLANON or similar systems
- Real estate or building management environments
